How to send resume to HR by email

Many times candidate email their resume to HR but they don’t get any response from the employer. Why does this happen?

Every day HR gets 1000 emails. It’s not possible to shortlist the candidate by checking the individual’s resume by downloading it. I got many messages from HR, “please ask candidates to write proper emails. so that it will save our time”. So I decided to write one article on this topic.

Before sending the email to HR you need to read the requirements properly. What they need in the candidate.

What should include in the email

  • Employer email id
  • Subject line
  • Proper mail Body
  • Signature

Employer’s/HR’s email id always write in a proper format. While writing an email id please check each letter.

What should be the Subject Line?

For fresher, the subject line must be “Your name | Job Title”

Ex- SIDDHESH DIXIT | TRAINEE SOFTWARE ENGINEER

What should mention in the body

The mail Body is an important part of the mail. Through mail body, you are impressing the recruiter. Always remember “FIRST IMPRESSION IS THE LAST IMPRESSION”. Impress the recruiter through your skills not by flirting. Your mail body should speak only about your skills and qualifications. The mail body should distribute in 5 parts.

  1. Greet Employer
  2. Introduce yourself with a short description. In that short paragraph, you have to tell how you got to know about the job opening. (Never mention any WhatsApp/Facebook group name.) You can write LinkedIn/Whatsapp/Facebook.
  3. Give all details related to the job opening. In skills, you need to mention the technical/functional skills if you have any. If you don’t have skills then remove the ‘Skills’ section.
  4. The last paragraph of the mail body should be thanking the employer for their time. Because they invest their time to read all the details.
  5. The signature is the last part.  It comes at the end of the mail; after mail body. There you need to write your name, Phone no, Email id, LinkedIn.

Let’s start with the first part. Here you have to greet the employer.

(If you know the employer name then use the below greetings)

Dear (Employer name),

Greetings of the day!

In case if you don’t know the employer name write

Dear Sir/Madam,

Greetings of the day!

The second part is a short introduction of the candidate

I am (Pass out Year) pass out from (Write your Branch) with an aggregate of (Write your aggregate). I am looking for an opportunity. I came to know about a job opening in your company from (write source- LinkedIn/Whatsapp/Facebook/Naukri). I have all the skills which match your requirements. Please find my details below. My resume is attached below.

The third part is your all details

Write down all your details- Name, Email, Mobile No, Qualification, Year of pass out, Skills, Graduation percentage, etc.

The fourth part is thanking paragraph

You have to thanks the employer for their valuable time.

The fifth and last part is Signature
